Why this matters

Managing personal details ensures accurate record-keeping for individuals in your system, enabling proper tax reporting, compliance, and communication with family members, partners, or advisors.

Prerequisites

  • You must have Administrator or Owner access to the person's profile
  • The person must be invited and have accepted access to your system
  • Access to the People section of the application

Steps

  1. Navigate to People section

    Go to the main menu and click on "People" to access the people management dashboard.

  2. Select the person

    Click on the person's card in the overview or select their tab to access their profile.

  3. Open Personal Details section

    In the person's profile, click on the "Personal Details" accordion section to expand it.

  4. Click Edit button

    In the top-right corner of the Personal Details section, click the "Actions" dropdown and select "Edit" to enable editing mode.

  5. Update Personal Information

    Fill in or modify the following fields as needed:

    • Given Name: First name of the person
    • Middle Name: Middle name (optional)
    • Family Name: Last name of the person
    • Display Name: How the person's name appears in the system
    • Date of Birth: Person's birth date
    • Date of Death: If applicable, date of death
  6. Update Identification Numbers

    Enter or update identification information:

    • TFN: Tax File Number (9 digits, auto-formatted)
    • Director ID: If applicable, director identification number
  7. Configure Sole Trader Status

    If the person operates as a sole trader:

    • Select "Yes" for Sole Trader to enable business fields
    • This will show additional business-related fields
  8. Complete Business Details (if Sole Trader)

    When Sole Trader is enabled, fill in:

    • ABN: Australian Business Number (11 digits, auto-formatted)
    • Trading Name: Business trading name
    • GST Registration: Whether registered for GST
    • PAYG Withholding: Whether registered for PAYG withholding
  9. Set Tax Configuration

    Configure tax-related settings:

    • Tax Residency: Australian Resident, Foreign Resident, or Temporary Resident
    • Reporting Entity: Whether this person is a reporting entity
  10. Configure Activity Settings

    Set business activity flags:

    • Primary Producer: Whether involved in primary production
    • Business Activity: Whether has business activities
    • Foreign Interactions: Whether has foreign business interactions
  11. Save Changes

    Click "Save Changes" to save all modifications. The system will validate the data and confirm successful updates.

Expected Results

  • Personal details are updated and saved in the system
  • Form fields return to read-only mode after saving
  • Business fields are shown/hidden based on Sole Trader status
  • All validation rules are applied (required fields, format validation)
  • Changes are reflected across the system where this person's data is used

Troubleshooting

  • Edit button not visible: Check your permissions for this person's profile
  • Required fields not saving: Ensure all mandatory fields are completed
  • Format validation errors: Check TFN (9 digits) and ABN (11 digits) format
  • Business fields not showing: Ensure Sole Trader is set to "Yes"
